With the new Timly AI Assistant, Timly provides a conversational assistant directly within the software: You ask questions or formulate work tasks in everyday language and receive answers based on your own inventory data. It runs on a dedicated AI service isolated from the Timly core application. 


- An Assistant That Understands Your Inventory Data - 

The Timly AI Assistant opens as a window within the Timly interface. You ask your question — for example, about an item, a location, or an assignment — and receive an answer in no time. The chat only accesses data you are already authorized to view in Timly. Permissions are enforced server-side, regardless of how the question is phrased. The chat can be enabled per account and per user.


- Find and Resume Sessions -  

Each conversation is automatically given an appropriate title. A dropdown next to the title shows your recent sessions, sorted by most recent activity, with the title and timestamp displayed for each one. Clicking on a previous session loads the complete conversation history, allowing you to continue right where you left off. Use “+ New Chat” to start a new conversation at any time.


- How a Request Works

  • Open the chat: Once your admin has granted you access, the AI Assistant informs you that you are interacting with an AI.
  • Ask a question or formulate a task: Use natural language and phrase your request intuitively.
  • Receive an answer: The AI Assistant retrieves the data you are authorized to access in the background.
  • Follow up or start over: Continue in the same session or begin a new chat.


- Your Data Stays Secure

The AI conversation runs separately from the core application on a dedicated AI service operated by Timly itself — entirely on European infrastructure, just like our web app. Your data never leaves Timly: there is no external third-party provider and no data transfer outside the platform. Access is always limited to the respective user permissions and enforced at the data level. Every conversation is clearly identified as AI-generated content, and chat histories are automatically deleted after a configurable retention period with role-based access controls.


- Control for Administrators

Administrators retain full control over access: The Timly AI Assistant can be enabled or disabled per account and specifically activated for individual users. It is directly integrated into the inventory app and uses the same permissions and data — with no additional maintenance effort for your team.

Can the Timly AI Assistant Access All Data in Timly? 
No. The AI Assistant only accesses data that you are already authorized to view in Timly. Permissions are enforced server-side, ensuring that the chat never displays content you do not have access to.


Where Does the AI run, and Is It GDPR-Compliant? 
The AI runs separately from Timly’s core application, fully on European infrastructure, and is GDPR-compliant. Your data is never passed uncontrolled to external AI models. Access permissions are enforced server-side, and chat histories are subject to a defined retention period with role-based access controls. This ensures full GDPR compliance.


Can I Continue a Previous Conversation? 
Yes. Using the session dropdown, you can select a previous conversation, load the complete history, and continue in the same thread. Alternatively, “+ New Chat” starts a fresh session.


Does the Timly AI Assistant Perform Actions Such as Assignments? 
The Timly AI Assistant supports more than just queries in your daily work. You can also create and edit data simply by giving instructions:

- Structure & Master Data

  • Create locations, departments, teams, and employees  
  • Create new categories and locations  
  • Example: “Create a Munich branch.”


- Manage Stock

  • Create items, stock items (including initial and minimum stock levels), and consumables  
  • Create vehicles, storage areas, or cabinets as locations and store items within them
  • Add item details such as serial number, purchase price, or reference number  
  • Example: “We need 20 pairs of safety gloves in Munich. Also, please set the minimum stock level there to 5.”


- Checkouts & Availability

  • Assign and return items to people or locations, including return dates  
  • Create reservations for a future period  
  • Example: “Assign the drill to Hans, with a return date next Friday.”


- Queries & Analysis

  • Who currently has what? Where is an item located? How many items are defective? What is the total inventory value?  
  • Even multi-step questions — such as finding an item’s location along with the responsible person — can be answered in a single response.


- Tickets & Maintenance -

  • Create one-time and recurring maintenance tickets with assigned responsibilities  
  • Change ticket statuses by simple command (e.g., “In progress” → “Completed”)


- Data Import

  • Insert tabular exports from SAP or Excel directly — the AI Assistant automatically recognizes columns such as name, barcode, reference number, and responsible person, then creates the items without requiring a file upload  
  • Missing employees are created automatically
  • During the beta phase, imports are limited to 20 records at a time
     

This allows even larger amounts of data — such as multiple people, items, and assignments at the same time — to be processed in a very short time.
